AI Visibility for Logistics and Freight Companies

99Visibility Research · Updated October 21, 2026 · 7 min read

Short answer

Logistics company AI visibility is whether ChatGPT, Copilot, Google AI Overviews, Perplexity and Claude name your firm, and describe it correctly, when shippers ask about lanes, modes, coverage and certifications. Most errors trace to stale or scattered facts: old directory listings, coverage maps that only load with JavaScript, and model knowledge frozen at a cutoff. You control the fixes that matter: plain coverage facts, crawler access, and index health in both Bing and Google.

Key takeaways

  • Shippers ask AI assistants narrow questions about lanes, modes, equipment and certifications, so vague service pages leave the engine nothing specific to quote.
  • Wrong regions served and wrong service lists usually come from outdated third-party listings or from model knowledge frozen before your network changed.
  • Copilot grounds on Bing, so check Bing Webmaster Tools separately from Google Search Console.
  • Access comes first: robots.txt must allow each search bot, your firewall must let it through, and coverage facts must be in the HTML before JavaScript runs.
  • Nobody can promise a citation, but you can remove every block that keeps your correct facts out of the answer.

The prompts shippers ask AI assistants

Freight buyers rarely ask an AI assistant for "a good logistics company". They ask about a specific lane, mode or compliance need. Say you run a mid-sized freight forwarder with offices in Rotterdam and Chicago. Your buyers might type prompts like these (hypothetical examples):

  • "Which freight forwarders handle LCL from Shenzhen to Rotterdam with customs clearance included?"
  • "3PL with temperature-controlled warehousing in the Midwest for a frozen food brand"
  • "Which LTL carriers cover Texas to Florida with liftgate delivery?"
  • "Freight forwarders that ship dangerous goods by air out of Frankfurt"
  • "Is [your company] a licensed customs broker in the US?"
  • "Does [your company] hold AEO or C-TPAT certification?"
  • "Compare [your company] and [competitor] for cross-border trucking into Mexico"

Each prompt turns on a checkable fact: an origin and destination, a mode, an equipment type, a licence. The engine also may not search for the prompt as typed. OpenAI's help centre says ChatGPT search rewrites a query into one or more targeted queries before sending it to search providers. What it can find is facts stated plainly on pages it can fetch.

Why AI misstates regions served and services

Logistics firms change shape often. Lanes open and close, a warehouse moves, a reefer fleet gets sold, a certification lapses or gets added. AI answers lag those changes for three reasons.

Frozen model knowledge

When an assistant answers without searching, it relies on training data with a cutoff. OpenAI's model documentation lists a February 16, 2026 knowledge cutoff for the GPT-5.6 family and August 31, 2025 for the Instant path. A lane you added this spring does not exist in that answer. Nothing you publish this quarter reaches it.

Stale third-party pages

When the assistant does search, it often cites directories, marketplaces and association lists instead of your site. If those still show your 2023 coverage, the answer repeats it.

Facts the crawler cannot read

Interactive coverage maps, lane finders and service tabs often load with JavaScript. Vercel found that ChatGPT and Claude crawlers fetch JavaScript files but do not execute them. A map that renders client-side is blank to them.

Which engines matter in a freight buying journey

Freight procurement is B2B and often runs inside corporate Microsoft environments, so the engine mix differs from consumer categories.

Engine Where it gets pages What to check
ChatGPT Its own search index via OAI-SearchBot, sometimes with partner search providers robots.txt and firewall access for OAI-SearchBot
Microsoft Copilot The Bing index Bing Webmaster Tools index status
Google AI Overviews and AI Mode Google's index, with snippet eligibility Google Search Console, noindex and nosnippet
Perplexity Its own index via PerplexityBot robots.txt and firewall access for PerplexityBot
Claude Search via Claude-SearchBot robots.txt and firewall access for Claude-SearchBot

Bing deserves its own check. In Otterly's 2026 experiment, Bing kept two test sites after Google deindexed them, and Copilot kept citing them. The same test found that ranking in Bing produced effectively no ChatGPT citations, so whether ChatGPT uses Bing is not a shortcut you can rely on. Measure each engine on its own. A blended number hides the engine that matters to your buyers.

Publish coverage facts plainly

The one on-page practice with a positive experimental signal is stating a specific fact on a page that can be fetched. That gives the engine a sentence it can quote. It does not guarantee a citation. For a logistics firm, write these as plain text in the HTML:

  • Regions and lanes served: name countries, states, ports and airports. "We run FTL between Texas, Oklahoma and Louisiana" beats "nationwide coverage".
  • Modes: FTL, LTL, drayage, ocean FCL and LCL, air, rail, intermodal. Say which you operate and which you broker.
  • Equipment: reefer, flatbed, hazmat-capable trailers, bonded warehouse space, square footage by site.
  • Certifications and licences: the name, the issuing body and the number where one exists, plus the year obtained.
  • What you do not do: "We do not handle ocean freight" stops the assistant from guessing.

Keep one canonical page for coverage and make every other page agree with it. Contradictions between your footer, your about page and a sales PDF give the engine conflicting sentences. If you keep a lane map, add a text list of the same lanes below it.

Third-party sites worth checking

When engines cite other sites instead of yours, being named correctly on those sites is the route into the answer. The evidence shows an association, not a promised effect. For freight firms, check:

  • Industry directories and freight marketplaces: profiles often list old offices, dropped modes or lapsed certifications.
  • Trade association member lists: forwarder networks, warehousing associations and customs broker associations.
  • Government and regulatory registries: licence and authority records shippers use to vet carriers.
  • Review and rating profiles: these carry service descriptions you may have written years ago.
  • Your own old press releases and partner pages: a 2022 announcement of a closed warehouse still reads as current.

Update the listings you control, and ask owners to fix the rest. You cannot edit the model directly. Our answers on asking OpenAI or Google to correct company information and on correcting ChatGPT inside a chat explain why the source pages are where the fix happens.

The access checks

Access levers have the strongest evidence because they remove blocks. Run these before touching content.

robots.txt, per bot

OpenAI states its crawler settings are independent. GPTBot governs training. OAI-SearchBot controls ChatGPT search. A blanket AI block often removes search eligibility by accident. A minimal file that allows the search bots looks like this:

User-agent: OAI-SearchBot
Allow: /

User-agent: PerplexityBot
Allow: /

User-agent: Claude-SearchBot
Allow: /

Firewall and CDN

OpenAI's help centre says eligibility needs both robots.txt permission and a host or CDN that allows its published search bot IP addresses. A firewall can return 403 to a bot robots.txt allows. From 2026-09-15, Cloudflare blocks Training and Agent crawlers by default on ad-displaying pages for new domains and existing free-tier customers, so a site can lose access without anyone editing it. The AI Crawler Checker requests a page as each AI crawler and shows which ones get turned away.

Rendering and snippet controls

  • Load the coverage page with JavaScript off. If lanes disappear, server-render them.
  • Search templates for noindex, nosnippet, max-snippet:0 and data-nosnippet. These keep content out of AI answers on Google and Bing.
  • Google says AI Overviews and AI Mode need a page that is indexed and eligible for a snippet, with no additional technical requirements.

A 30-day plan

  1. Days 1 to 5: baseline. Run your key lane and certification prompts on each engine, logged out. Record which firms appear and every wrong fact about yours. The free checker on this site gives a snapshot for three buyer questions.
  2. Days 6 to 10: access. Check robots.txt per bot, test firewall responses for each search crawler, and diff your coverage page with JavaScript on and off.
  3. Days 11 to 15: index health. Verify Bing Webmaster Tools and Google Search Console separately. Confirm coverage and service pages are indexed and snippet-eligible.
  4. Days 16 to 22: facts. Rewrite the coverage page as plain text with lanes, modes, equipment, certifications and exclusions. Remove contradictions across the site.
  5. Days 23 to 30: third parties. Update directory, association and registry listings. Retire or correct outdated press pages.

Rerun the same prompts at day 30. Retrieval answers can change once engines recrawl. Answers given from training data will not move until a future model.

Frequently asked questions

Why does ChatGPT say we serve regions we dropped years ago?

Either the answer came from training data with a cutoff before the change, or ChatGPT searched and found a page that still lists the old coverage. Check whether the answer shows citations. If it does, open them and fix or request fixes on those pages. If it does not, the answer likely came from model knowledge, which only changes with a newer model.

Should a freight forwarder block GPTBot?

That is a training decision, not a visibility decision. OpenAI documents GPTBot as the training crawler and OAI-SearchBot as the search crawler, with independent settings. You can block GPTBot and still allow OAI-SearchBot to appear in ChatGPT search answers. Allowing GPTBot is not documented to improve search visibility.

Does schema markup help a 3PL show up in AI answers?

The evidence does not support it as a lever. Google says structured data is not required for generative AI search, and an Ahrefs matched test found AI Overview citations fell 4.6% after pages added schema. Existing markup does no harm. Plain, fetchable text stating your lanes and certifications is the better use of time.

How often should a logistics company check its AI answers?

Check after any network change: a new lane, a closed site, a new certification or a dropped mode. Otherwise a monthly check of the same prompts on each engine shows drift. Keep the prompt list fixed and run it logged out so results are comparable, and record each engine separately rather than as one blended number.
